Connect fleet maintenance to field planning through a clear availability decision, not simply a closed workshop task. A supervisor needs to know which vehicle can be assigned, what evidence supports that state and who owns any outstanding condition.

Define the handoff

Worked example: repair complete, review pending
In a hypothetical municipal fleet, a vehicle’s workshop task is marked complete while the required review remains pending. A dispatcher preparing tomorrow’s assignments sees only “complete” and assumes the vehicle is available.
The proposed design separates completed work from the authorised availability decision. The dispatcher sees the latter, while the workshop record retains the actual completed action. If another vehicle is substituted, record that assignment change without moving the repair history to the substitute.
When a registration or display label changes, preserve the stable vehicle identity. Otherwise, past work may appear to belong to a different vehicle or vanish from a summary.
What should a dashboard not imply?
A vehicle location does not prove availability, and time near a site does not prove that a maintenance task was accepted. If you add telematics, specify which observation informs which decision and retain the responsible review.
For bilingual teams, define “work complete,” “review pending” and “available for assignment” separately. A general translated “ready” label can hide a material difference in responsibility.
Test one delayed handoff
Use a synthetic vehicle with completed work and pending review. Ask the dispatcher to identify whether it can be assigned and who must resolve the pending state. Then verify that the eventual availability change remains traceable to its approval.
