How Can Electrical Asset Inspections Support Maintenance Planning?

Connect electrical inspection findings with reviewed maintenance tasks while preserving asset identity, engineering authority and unresolved follow-up.

Use inspection records to preserve what was observed on a specific electrical asset and route the finding to an authorised maintenance decision. The record should distinguish an observation from an approved technical diagnosis and from completed work.

This checklist describes information handoffs, not electrical inspection methods, operating instructions or safety authorisations.

Worked example: location correct, equipment uncertain

In a hypothetical field record, a technician selects the right site but the cabinet identifier does not match the register. Preserve the observation with an explicit identity exception and assign reconciliation. Attaching it to the nearest matching label can corrupt another asset’s history.

After identity is confirmed, the responsible technical reviewer decides the required follow-up. The GIS correction and maintenance action may have different owners. Track both: completing the maintenance action should not make the unresolved register correction disappear.

A supervisor should be able to explain which facts were observed, which were inferred and which were approved. If that explanation exists only in a private message, the record is not yet a dependable handoff.

Keep operating authority outside a status label

“Work assigned” in an asset system should not be interpreted as permission to operate equipment. Define how the maintenance record references the organisation’s approved authorisation process without replacing it. Confirm any interface with other operational systems separately.

Use shared bilingual definitions for assessment, approval and completion. Translating all three as a general “done” state weakens the distinction between a submitted finding and an accepted intervention.

Demonstrate retrieval

Test one confirmed finding and one identity exception. Starting from either, ask a reviewer to retrieve the evidence, decision owner, assigned work and unresolved items. Then verify that an asset replacement retains the predecessor’s history.
